How to use Shift Tasks
Shift Tasks is a project and task tool for teams that run events and long projects. This page shows what it does today, what is coming, and how to tell us when something is wrong.
Get started
- Open the invite email from Shift Tasks and click the link. Use a normal browser window, not a private one.
- Sign in with the exact address the invite was sent to.
- After that, Continue with Google may also work with the same address. If it does not, ask for a sign-in link by email.
- Open a project and look around. You cannot break anything for anyone else by clicking, and a viewer can only look.
If the link does not work or the email does not arrive, tell us before you try anything else. See how to report a bug.
What it does today
Every project has its own tabs: Overview, Board, Calendar, Timeline, People and Settings.
Overview
The numbers and list overview for a project, on one page.
Board
Drag a card to another column to change its status. It stays where you put it after a reload.
Calendar
Every task on its due date, so you can see what lands when.
Timeline
A Gantt-style view. Use Day, Week, Month or Full project, the − and + buttons to zoom, Jump to today, and drag the background to move sideways.
Task drawer
Click any task to edit its title, set a due date, assign someone, add subtasks, tick off a checklist, and write comments.
My Tasks
Everything assigned to you, across projects, in one place.
People and roles
In a project, go to Settings → Members → Invite by email. Pick a role such as viewer. A viewer can look but not change anything.
Works on your phone
The same pages open on a phone. We are still tuning them, so tell us what is cramped or cut off.
Coming next
These are not built yet. There is no need to look for them or report them as missing. The order can change, and we are not giving dates.
- Email notifications you controlEmails when a task changes, with settings so each person chooses what they get and for what.
- More ways to sign inSign in with Slack and Microsoft, and two-factor sign-in (2FA) to lock accounts down.
- Archive and activity historyArchive finished projects without losing them, and see who changed what on a task.
- Clients on projectsA light client record on each project, with connections to tools such as GoHighLevel, HubSpot and Flex Rental Solutions later on.
- Time trackingLog time against projects and clients, including across more than one organisation.
- Smarter task helpIdeas we are exploring for assigning, reviewing and checking off tasks automatically. This is early thinking, not a commitment.
Report a bug
Please do. Tell us about everything, even small things. If something looks odd, feels slow, or made you stop and think, we want to hear it. You are not bothering anyone, and a small report today saves a bigger problem later.

Start the subject line with a tag, so we can sort reports quickly:
- [ST-BUG]: something is broken or wrong.
- [ST-PHONE]: a problem on a phone or small screen.
- [ST-LOGIN]: you could not get in, or an email did not arrive.
- [ST-IDEA]: something you wish it did.
- [ST-QUESTION]: you are not sure how something works.
Then, in the message, say four things:
- Page: where you were.
- What I did: the clicks or typing.
- What I expected.
- What happened.
On a phone, also tell us which phone and which browser. Short is fine. A screenshot is worth more than a long description.
